Please read carefully. The following terms and conditions shall be applied for tours, packages, guided services and other related services offered and/or delivered by Wild Awake Outdoors in Ruka-Kuusamo and in any other area of Finland. This is a legally binding contract.
Reservations
The person making the reservation must be of legal age (over 20years old). Reservations are always made in writing, primarily through the reservation system or by email. Reservations received by Wild Awake Outdoors are considered as confirmed upon receipt of full payment or upon receipt of the partial deposit payment (15% of total trip costs for multi-day tours). Online bookings are automatically confirmed with an email notification to the customer upon payment receipt. For reservations made by email, an invoice quote is sent by Wild Awake Outdoors to the customer and payment is operated by bank transfer or via a payment link. In connection with the payment of the deposit fee or the entire service, the reservation becomes binding, and the customer accepts the booking terms and conditions. The same terms apply to tailored offers.
Services & Prices
The prices and the services offered and to be delivered by Wild Awake Outdoors under these Terms & Conditions are set out in the program descriptions for each program service / tour / package. The given prices include Value Added Tax (VAT) according to the Taxation Laws and Regulations of Finland. The standard currency is EUR.
Wild Awake Outdoors reserves the right to change the prices in case of any unforeseen increases in costs (including but not limited to taxes, fuel prices, sub-contractor costs etc.) beyond the control of Wild Awake Outdoors. Advertised discounts and promotions are subject to availability of the product in question.
The services included in (and excluded from) the tour / package offered are clearly mentioned in the descriptions of the product in question.
The service provider reserves the right to change route or duration of the tour or service as well as interrupt the tour or service if circumstances change beyond our control. Circumstances include possible dangerous situations or weather conditions. Wild Awake Outdoors also reserves the right to interrupt the program for an individual or the group if a person is estimated to be a danger to themselves or others.
Wild Awake Outdoors is not responsible for insurmountable obstacles (Force Majeure), for example, regarding strikes or weather conditions. Our liability is limited to for the refund of prepaid fees for services paid by the customer. Wild Awake Outdoors is not responsible or liable for any other costs related to the trip.
Payment
Payments are implemented by the payment service provider Stripe Payments Europe Limited. In a Visa, Visa Electron, Debit or MasterCard payments Stripe will be seen as a payee in a card invoice and they forward the payments to the seller. For consumer the service works the same way as traditional web payments.
Payments are due 90 days before the trip. In the case of tours booked within 90 days of the trip, the full tour cost is due at booking. Not paying on time will be considered grounds for cancellation, in which case our cancellation fees will apply.
Cancellations
Cancellations must be made by e-mail to the address: hello@wildawakeoutdoors.com
The requested cancellations are subject to the approval of Wild Awake Outdoors. Cancellations fees are calculated according to the date of receipt of the request by Wild Awake Outdoors.
Private Day Tours
Booking is confirmed after payment is received.
Cancellation charges are subject to the following fees per person (if not stated otherwise):
- Cancellation fee of 100% is charged if cancelled 1 day or less before the trip
- Cancellation fee of 50% is charged if cancelled 7 days or less before the trip
Multi-day Tours of 2 days of more
A 15% non-refundable deposit of the total amount is required to reserve your spot on the selected trip.
Cancellation charges are subject to the following fees per person:
- Cancellation fee of 100% is charged if cancelled 30 days or less before the trip
- Cancellation fee of 50% is charged if cancelled 31 - 45 days before the trip
- Cancellation fee of 30% is charged if cancelled 46 - 60 days before the trip
- Cancellation fee of 15% (deposit) is charged if cancelled 61 days or more prior the trip
If the minimum number of 4 participants is not met, the traveller will receive a refund of the already paid amount. In such cases we also offer to change to another tour date if wanted (differences in price will be charged). If we are required to cancel, we will not be responsible for any costs incurred from travel arrangements, accommodation etc. We recommend that you book flexible travel options and have appropriate travel insurance.
In case that subcontractor’s or third-party supplier’s cancellation terms are stricter, their cancellation terms will be followed.
The date of the event for the calculation of the cancellation fees is the date of the delivery of the first services included in the tour / package.
Trip Changes by Us
Wild Awake Outdoors reserves the right to change, alter or modify route or duration of the tour / service as well as interrupt the tour / service without prior notice for any reason including but not limited to for the safety, comfort and / or well-being of trip participants and for circumstances of Force Major, i.e. circumstances beyond our control which prevent us from providing the trip as planned. This includes the right to replace or substitute guides and accommodations in the trip materials, modify the schedule, and make other changes in the itinerary.
If Wild Awake Outdoors is forced to significantly alter or cancel your trip due to Force Majeure, you will be informed via email. In these circumstances, you can choose one of the following options:

Accept our offer of a comparable replacement trip, offered at our sole discretion and subject to availability, or

Receive a refund of all monies paid less any non-refundable deposits paid to third party suppliers
When accepting an offer for a replacement trip:
- If the cost is lower than the price of the original trip, you will receive a refund for the difference in cost, or
- If the cost of the replacement trip is higher than your original trip, we won’t charge you for it. We will work with our suppliers to try and obtain any non-refundable deposits so that we can give you a full refund. We cannot guarantee such a result, though.
Trip Changes by You
If you need to cancel your trip, you must send us the details by email to hello@wildawakeoutdoors.com.
Changes and cancellations by you may be subject to cancellation/amendment fees and/or non-refundable deposits and some Suppliers do not allow changes and therefore full cancellation charges will apply. These will be outlined in the terms and conditions of the Supplier.
If we accept your request for a trip change Wild Awake Outdoors reserves the right to charge an administration fee of €100 for any amendments to your booking.
Insurance
Wild Awake Outdoors has liability insurance for those who participate in the services against such damages, which are caused by the incorrect operation of the service provider.
Participants are required to have their own travel insurances to take part on any tour provided by Wild Awake Outdoors. The insurance should especially cover injuries, impossibility to travel, damages and harms caused to others and any other unexpected costs. EU, EEA and Swiss citizens, who have a valid European Health Insurance Card (EHIC) are entitled to medical services in Finland while visiting here. It will be provided in accordance with the legislation of Finland.
Use of Image and Digital Content
All participants accept that photographs, videos and digital contents produced during the tour / programs offered by Wild Awake Outdoors, including content that display their image, may be used for the marketing of Wild Awake Outdoors and the promotion of their services. Wild Awake Outdoors commits not to sell, share with third-parties, or use for any other purposes than marketing of their own services, the digital contents that display the image of participants without their prior consent. Participants may contact Wild Awake Outdoors (hello@wildawakeoutdoors.com) to request that digital contents displaying their image are not used for marketing and promotional purposes; such requests must be made in writing before the start of the tour
Safety
All participants must follow the briefings carefully on all tours and obey all safety instructions given by the present guide, including, if applicable, by third-party suppliers. Anyone taking part in the tour is required to dress appropriately according to the weather and actual conditions of the tour. Participation in all tours is at one’s own risk. Some programs such as husky safaris or longer skiing and hiking trips can be physically demanding. If participants are having any type of health problems, including, but not limited to, heart disease, back problems or similar, or if they are pregnant, they should contact medical experts prior the participation.
Wild Awake Outdoors and its employees and guides have the right to disqualify anyone at any time both before and during the trip if they feel the trip member is mentally or physically incapable to continue and / or if a trip member’s continued participation jeopardizes the group’s or his / her own safety. Wild Awake Outdoors reserves the right to provide alternative activities and onward transportation in situations where the guide determines that the participant is mentally or physically incapable of completing any day’s activities in a reasonable amount of time or if participation puts the participant at increased risk of injury.
Wild Awake Outdoors is not a medical facility and therefore has no responsibility regarding medical advice, medications or inoculations that you or your doctor deem necessary for your safe participation. Hospital facilities for serious problems are often unavailable, and evacuation can be prolonged, difficult and expensive.
Wild Awake Outdoors assumes no liability regarding provision of medical care. By registering for your trip and accepting these Terms and Conditions, you agree to pay for emergency evacuation and emergency medical care.
Third-party Supplier
On some of our tours Wild Awake Outdoors is working in collaboration with other local trusted partners. In addition to the present terms and conditions, the terms and conditions of the third-party will apply. Wild Awake Outdoors cannot be held responsible for defects in the service delivered by a third-party supplier but, in case of complaint, we will investigate and offer as much support as possible to the customers.
Your Obligations as a Trip Member
By participating in a Wild Awake Outdoors trip, you assume certain obligations to Wild Awake Outdoors and the other trip members. It is your responsibility to:
- Understand the conditions implied in the Wild Awake Outdoors trip description.
- Select a trip that is appropriate to your interests and abilities.
- Prepare for the trip by familiarizing yourself with the trip itinerary and trip preparation materials sent by Wild Awake Outdoors.
- Bring appropriate gear and clothing as advised by Wild Awake Outdoors.
- Follow considerate standards of personal hygiene to reduce risk of contracting diseases.
- Follow considerate social behaviour with other trip participants and respect their habits.
- Respect the areas in which we travel by using environmentally safe products, staying on established routes of travel and not littering.
- Abide by instruction / rules / outdoor ethics written or communicated by Wild Awake Outdoors
- Travel at a pace consistent with the safety of the group, as managed by the guide. If the guide decides that you are not traveling at a pace necessary to maintain group safety, or if you prefer to take a route different from the rest of the group, you become responsible for your own safety, as well as for any cost incurred, such as transportation.
Wild Awake Outdoors reserves the right to decline to accept or retain any person as a tour participant should such person’s behaviour, health, or mental condition impede the operation of the trip.
Our Legal Limitations
Wild Awake Outdoors may contract with independent contractors to provide transportation, guide services and / or all other related travel services. We assume no responsibility for injury, loss or damage, however caused, to person or property in connection with any service provided by an independent contractor or resulting directly from the following: Acts of God, detention, annoyance, terrorism, thefts, pilferage, Force Majeure, civil disturbances, government restrictions or regulations, strikes, delays and expenses arising from quarantine, failure of any means of conveyance to arrive or depart as scheduled, discrepancies or change in transit or hotel services over which we have no control.
We reserve the right to make reasonable changes in the itinerary were deemed advisable for the comfort and well-being of trip members. By accepting these terms and conditions and registering for this Wild Awake Outdoors trip, the participant agrees to be bound by the above terms and conditions.
Applicable Law and Jurisdiction
These terms and conditions shall be governed by and construed in accordance with the Finnish Law. Any disputes to be solved primarily through negotiation, but if no agreement is reached then the dispute is settled by the Finnish Court. The Finnish Courts shall have the exclusive jurisdiction to settle any dispute, controversy claim related to such a demand. The District Court of Oulu shall be the court of first instance.
Severability if any part, term or provision of these terms and conditions are partly or wholly held invalid, illegal or unenforceable, the validity or enforceability of other provisions, extent part and remainder of these terms and conditions shall remain in full force and effect.
Awareness of Risk
I / we understand the nature of cross-country skiing/canoeing/hiking and I / we have chosen to engage in, and I find no reason why I am / we are physically or mentally unable to perform the required actions in order to safely accomplish a Wild Awake Outdoors trip.
I am / we are fully aware and understand that the activities in which I am / we are participating under the arrangement of Wild Awake Outdoors and its Associates are potentially dangerous and that there are risks inherent in all outdoor activities. These risks include but are not limited to, inclement weather, hazards in skiing, snowshoeing, canoeing, hiking on unmarked terrain, general outdoor activity. Risks associated with such activities include but are not limited to serious bodily injuries, such as permanent disability, paralysis, and death.
There are many risks that may arise from foreseeable or unforeseeable causes (e.g. falling rocks, snowfall from above and hitting participants).
I / we understand that these risks may be brought about by my own actions or inactions as well as other participants ‘and Wild Awake Outdoor Associates’ actions or inactions.
Any decisions made by Associates of Wild Awake Outdoors are part of the risks of the activities listed above. I / we also understand that there may be other risks and economic or social losses unforeseen at this time.
I / we fully accept all such risks and responsibilities, costs, damages, and losses that may come to me as a result of participating in these activities.
